Customer care is extremely important for any business. It will help to bring people back after receiving a good experience and will give them a reason to refer you to friends. Customer service is among the most important aspects for anyone buying a service or product, whether it is answering queries, dealing with problems or managing accounts. Here are seven tips to giving the best customer service possible.


The Customer is Right

There are times that the customer will be wrong but remember that this is the person who is putting money into the business. If you want the customer to come back, you need to make sure that you treat him or her with respect. Acknowledge the customer’s problems and explain the situation, especially if you realize that they are in the wrong. Do this politely, whether responding over the telephone, via email or by post.

Listen to the Customers

You will be surprised by the amount that you will gain from listening to your customers. They will inform you of everything they want and you may find that there is a market available that you never even thought about. Customers feel appreciated when they are listened to, even if you do not give into their needs – they may want something more than the business is able to offer. Avoid assuming anything and let the customer talk about the situation.


Treat Customers as Individuals

Each customer will need something different from you. They are all unique and you need to treat them that way. Never assume that one customer wants something that another customer demanded or that they have the same problem. By treating them as individuals, you will make them feel appreciated and they will want to stay with the company for longer instead of going to your competitors. They will also recommend you to friends for the way that you care about them – this is something that many bigger companies fail to do.


Explain Your System

Systems have faults and are difficult to understand at times. To help your customers, you need to explain the way that your system works – whether it is a chain of command or a computer system – and why they work that way. By understanding the system, they are more likely to understand any restraints in place on your part so they will become less frustrated. If there is a computer system in place that the customer has to use, ensure that there is a dedicated support service available who will be able to explain the system in detail.

Try to Help Your Customers

People hate to hear the word no. As a child, if you heard the word no, you had to do it or you wanted it, right? It is the same with customers. If they hear that they cannot have something or something is not possible, they will want it. Try to find a way around the no answer and help your customers gain what they want. Of course, this is only the case if the requests are reasonable – if they are asking for the world then there is nothing wrong with saying no!

Admit When You are Wrong

People generally have more respect for someone who is willing to admit that they are wrong and apologize for any mistakes. This is something to think about when you realize that there is a fault and it is your own. If a customer calls with a complaint, look into it and admit when you are in the wrong. Apologize and then find a solution to the situation. Complaints generally are a good thing as you will know how to grow and make good changes to your company.

Ask for Feedback

Remember that complaints are good. Finding out where you are going wrong is a good thing but so is finding out where you are going right. Set up a feedback questionnaire for your customers so that they can offer feedback. Some customers will not want to fill it in and others will be so busy that they forget. Send a reminder to people who have not answered the questionnaire but never more than that one reminder.

Take the time to offer the best customer support available. This will help your business grow and succeed. Remember that your customers are the reason why you are making a profit so you need to keep them and gain more. There are many different types of systems available to help you so find one that suits your needs.
